NOTARY PUBLIC REAL ESTATE SIGNING AGENT

A Notary Public Signing Agent is a specialized type of Notary Public who is trained and authorized to handle the notarization of documents related to real estate transactions, including loan closings. They may work independently or be hired by title companies, lenders, or signing services. They serve as independent third parties to help ensure the integrity and legality of the transaction.

  • The role of a Notary Signing Agent in a real estate closing includes:
    1. Ensuring the proper execution of notarized documents by verifying the identity of the signatories.
    2. Confirming that the documents are signed voluntarily and that the signatories understand the contents.
    3. Administering oaths or affirmations when required.
    4. Adding notarial certificates and seals to the documents, as necessary.
    5. Maintaining records of notarizations performed during the closing..

The specific role of a Notary Public or Notary Signing Agent in a real estate closing may vary based on Provincial & State laws and the requirements of the parties involved. Their presence and notarization services are essential to help authenticate the documents and protect the interests of all parties in the transaction.

NOTARY SIGNING AGENT PROCESS FOR REAL ESTATE CLOSINGS

STEP ONE: Have your Lawyer, Closing Agent, Condo Company etc… email you the closing documents or have them email the documents directly to Karen Gagne at: contact@notarypublicinlondonontario.ca

STEP TWO: Verify whether you will need 1 or 2 witnesses to witness the signing of your documents. Also find out if your Notary Public can act as a Witness? or do you need two different Witnesses and a Notary Public? Consult with your Witness(es) to find a mutually convenient day and time to have your documents signed.

STEP THREE: Contact Karen Gagne either by email or phone to book in for an in-office or mobile appointment, or book directly online from our website to book a day and time to have your documents signed and witnessed. If you choose a mobile appointment, please call or email us.

STEP FOUR: At the time of your appointment, please arrive a little earlier, so that we have the time to settle in with all the Witnesses to prepare for the signing. Once the signing is done you will have the following options:

  • We can scan all of your closing documents and email them to your Lawyer, Closing Agent, Condo company etc… for a fee of $15.00 (plus HST) or you can take your documents and scan and send them yourself.
  • You have the option of asking for a copy to be scanned to you as well for a fee of $5.00 (plus HST)
  • If you would like a copy for yourself (printed copy) there is an additional .25 (plus HST) per page for printing

STEP FIVE: The final step is for you to mail your documents back to your Lawyer, Closing Agent, Condo Company etc… by Canada Post (if closing date allows) or by Courier Fedex/DHL or other.

WHAT IS THE COST FOR NOTARIZING THESE DOCUMENTS?

  • Small Closing: Under 10 page closing document $90.00 plus scanning, emailing & copies & HST
  • Med Closing: 11 to 20 page closing document $130.00 plus scanning, emailing & copies & HST
  • Large Closing: 21 to 30 page closing document $180.00 plus scanning, emailing & copies & HST
  • XLarge Closing: Over 30 page closing document $225.00 to $389.00 (depending on # of signatures & seals) plus scanning, emailing & copies & HST
